The telephone is the lifeblood of your business. Throughout the day, numerous incoming and outgoing calls flow through your company.

  • How many of those calls go unanswered?
  • How many rings before a call is answered?

  • From what areas do these calls come?
  • When are the phones busiest - which days and what times of the day?

How does it work?

Telephone Call Accounting is a monthly subscription service. It provides a series of summarized reports, graphs and detailed data that gives a complete and total picture of your telephone activity.

The service relies on a small proprietary device, the Scout, which is installed next to your phone lines. It captures caller information on all inbound and outbound telephone traffic, and transmits the data automatically to the computers at Client Discovery's Data Center. Scout caller id unit

There, your caller data is sorted, indexed, and its integrity verified. Your reports are immediately available for viewing, printing, or downloading through your password-protected account on the Client Discovery web site.


What are the advantages to being Web Based?

Large corporations have used these same tools for years. Now Client Discovery's web-based delivery systems make call accounting simple, cost effective and convenient for small to medium sized businesses, especially those with multiple locations.

Immediate Access - All inbound and outbound telephone traffic information is stored. You can search, view, sort, print, or download your data in summary or detailed reports. You could list, for example, all calls made or received from Texas between March 2nd and March 8th. With your password-protected account, you can access your telephone traffic information from any computer, from any location.

Drill Down Detail - In some cases, you may want to see the underlying detail which makes up summary reports. This is easily done with Client Discovery's powerful drill-down capabilities. For example, while viewing a monthly report, you can drill-down to the weekly data, the daily data, the hour, and so forth until individual phone records can be viewed. The detail data such as date, time of call, city, state, name and phone number of the caller are just a click away.

Download - For more complex reporting needs, you can download detailed data from the web site and import it into your own spreadsheet or database program. The data format is compatible with most programs such as Microsoft Excel, Access, ACT!, or FileMaker Pro.


How can Telephone Call Accounting save us time and money?

The reports will give you a complete picture of your telephone traffic. Managers will be able to study the reports on a weekly or monthly basis, and use historical data to precisely adjust to seasonal fluctuations and long-term trends.

Monitor Unanswered Calls - A significant number of these missed calls are from current customers or new prospects. The Answering Report will show you the number of calls you missed, and when.

Adjust Telephone Staffing - Several reports and graphs will help you identify the times of day and days of the week you can expect high or low telephone traffic.

Monitor Phone Line Usage - Determine if your business has the right number of phone lines. Too few phone lines and your callers will get busy signals; too many, and you are wasting money.

Manage Telephone Usage - Identify problems such as employees who spend an excessive amount of time on the phone, or who make long distance and personal calls during rush periods. Pinpoint telephone misuse and take corrective action.

Supply Marketing Information - Inbound call data can yield a bounty of marketing information. The Call Location report will show you from what areas of town people are calling. Use the Call Volume by Day and the Call Volume by Week reports to evaluate your advertising campaigns.


What reports are available?

The following are the standard Call Accounting Reports. Click on the report name for a more information and a sample.

Answering Report Number of inbound calls answered or not answered, by time of day or day of week.
Calls by Hour Number inbound and outbound calls by time of day. Listed by day-of-month.
Phone Line Usage Number of inbound and outbound calls sorted by line number, listed by time-of-day.
Frequent Calls Top 20 most frequent inbound and outbound calls.
Longest Call Report Top 20 longest duration inbound and outbound calls.
Call Location Report Number of inbound calls from various cities.
New Caller Report Name, phone number, date and time of the first call for first time callers.
Incoming Calls by Week Number of incoming calls and new callers per week for the last 52 weeks of service.

The following optional reports are available upon request.

Distinctive Ring Report Lists quantity and percentage of inbound calls associated with distinctive ring phone numbers. Useful in measuring the exact number of sales inquiries for different phone numbers published to a single phone line. Available for customers using Distinctive Ring service from the phone company.
Door Open Report Lists the first time and last time the door is opened each day, and how many times the door was opened during each hour of the day. Helpful in tracking first employee's arrival time and last employee's departure time, along with walk-in customer traffic levels. Available only when an additional door transmitter has been installed.
